Position Overview
We are seeking a highly organized and proactive Intake & Authorization Coordinator to manage the full intake process—from referral to enrollment—and ensure all members maintain continuous authorization for services.
This role is critical to the organization’s growth and revenue, as it directly impacts admissions, compliance, and continuity of care.
Key Responsibilities
Referral Management & Follow-Up
- Follow up with hospitals, physician offices, and referral sources
- Collect required documentation (Provider Orders, clinical notes, etc.)
- Ensure timely conversion of referrals into active members
Insurance Verification
- Verify MassHealth and managed care eligibility
- Confirm program eligibility (AFC / GAFC)
- Identify and resolve eligibility issues early
Care Coordination
- Coordinate with Nurse Case Managers to schedule:
- Initial assessments
- Reassessments
- Ensure timely completion of required visits
Authorization & Compliance Tracking
- Track initial and ongoing prior authorizations (PAs)
- Monitor expiration dates and prevent lapses
- Work closely with Compliance and Nursing teams
Documentation Management
- Ensure all intake and member documentation is:
- Complete
- Accurate
- Submitted on time
Key Performance Indicators (KPIs)
- Referral → Admission Conversion Rate
- Time from Referral to Admission
- % of Complete Intake Packets (first submission)
- Authorization Lapse Rate (target: 0%)
Qualifications
Required:
- 1+ year experience in healthcare intake, coordination, or administrative role
- Strong organizational and follow-up skills
- Ability to manage multiple cases simultaneously
- Excellent communication skills
Preferred:
- Experience with MassHealth, AFC, GAFC, or home care
- Familiarity with EHR systems (e.g., Ritiko)
- Bilingual (Spanish, Portuguese, or Haitian Creole)
